Florida Office Insurance: A Practical Review Before Renewal

Florida office insurance is easy to put on autopilot when the work seems familiar. Yet a new lease, more equipment, a growing team, or a second location can change what an office needs to review. Whether your business is in Celebration, Davenport, or elsewhere in Central Florida, take these questions to your advisor before renewal.

Florida office insurance: five questions for your review

1. What property is yours to insure?

List computers, furniture, signs, records, and improvements you paid for in a leased space. Compare that inventory with the property limits, valuation terms, deductibles, and the responsibilities in your lease. The Florida Department of Financial Services explains that commercial property coverage may be part of a business owners policy (BOP) or a separate commercial package. The declarations, coverage forms, causes of loss, conditions, and endorsements determine what the policy actually provides.

2. Could a closure interrupt income?

If a covered property loss closes the office, ask how business income and extra expense coverage would respond. Review the covered cause of loss, waiting period, limits, and restoration period. Could you operate temporarily elsewhere? The Florida department describes extra expense coverage as a way to address additional costs of continuing operations after a covered loss, subject to the policy’s terms. Do not assume every shutdown or power outage qualifies.

3. Are people, services, and data addressed separately?

Discuss general liability for visitor injuries or property damage, and any insurance requirements in your lease or client contracts. If your team gives professional advice or handles sensitive information, ask whether professional liability or cyber coverage merits a separate review. A BOP may offer some optional coverages, but their presence and limits vary. General liability should not be treated as a substitute for every professional or cyber exposure.

4. What changed in staffing, vehicles, or locations?

Update payroll, employee count, services, square footage, and locations with your advisor. If staff drive to appointments or run business errands in personal vehicles, discuss hired and non-owned auto liability and whether commercial auto coverage is appropriate. For workers’ compensation, Florida’s coverage requirements depend on industry, employee count, and entity structure; non-construction businesses generally reach the requirement at four or more employees, including certain owners. Confirm how the rule applies to your business rather than relying on a general threshold alone.

5. What is the plan for a Florida disruption?

Ask how the policy treats wind, water, flood, and an interruption of off-premises utilities. Flood coverage may require an endorsement or separate policy, and a power outage does not automatically trigger business income coverage. Keep a current inventory, key contacts, and a plan for accessing essential systems. Ready.gov’s business preparedness resources address communications, IT recovery, and continuity planning alongside physical hazards.

A short renewal checklist

  • Bring the current policy, declarations, lease, and major contracts.
  • Update property values, equipment, payroll, operations, and locations.
  • Ask about limits, deductibles, exclusions, waiting periods, and endorsements.
  • Write down any open questions before you change coverage.
